An honest assessment
When n8n is the right tool — and when it isn’t.
A consultant who recommends their favourite platform for every problem is a salesperson with extra steps. n8n is our default for production workflow automation, but it isn’t always the answer — and saying so up front saves everyone an awkward month three. Here’s the honest scorecard we walk through on audit calls:

When we’ll tell you not to hire us
- One trigger, one action, low volume. A single Zapier zap will do it. Set it up yourself in an afternoon and keep your £3,000.
- Hard real-time requirements. If milliseconds matter — live pricing, trading, in-app interactions — a workflow engine is the wrong layer. That’s custom code territory.
- Heavy data pipelines. Moving millions of rows nightly is a job for proper data tooling, not a workflow canvas, however satisfying the nodes look.
- The automation is your product. If you’re selling the software, build the software. n8n is for running the business around it.
- Nobody will own it. Unowned automation quietly rots into a new species of admin. If a retainer (ours or anyone’s) isn’t on the table, buy something simpler.
Where n8n wins — and it wins often — is the wide middle: multi-step, multi-channel workflows your business actually depends on, with logic too messy for Zapier and stakes too low to justify a software team.
